Attendance System

Attendance System is primarily intended for the HR management of presence and absence of employees at work. Its major feature is the indication of the actual employee presence overviews. Another advantage is the central access to the administration of leave requests with a possible online approval and an immediate output for the employee. As a result, Attendance System speeds up data processing and provides for a more transparent HR and payroll administration.

Attendance System offers a set of tools for creating, managing and processing of employee time data in the SAP NetWeaver Portal environment. The application allows the employees to enter their absence request (regular leave, training, sickness, family leave, …) and automates the approval process based on company’s organizational structure and competences. It provides for registering of employee arrivals and departures and for access by employees to read-only overviews of their own attendance during the current month in the portal environment. If an inconsistency (not punched) occurs for an employee, it is highlighted in the report and the employee can ask his/her supervisor to make a correction.

Attendance System provides for integration with biometric scanners intended for unique identification of the arriving and departing employees and for using any methods of verification of employee arrivals/departures.

Manager’s view

The manager is provided with an overall overview for all his/her employees, can adjust the data and save them to the mySAP ERP system. He/she approves employee arrivals/departures and absence requests in Attendance System. All records on the screen can be selected in a single step and saved as approved. The manager is entitled to impose absence (regular leave, training, business trip, etc.). The categorization of absence can be further refined.

Employee’s view

Employee’s view corresponds to the detailed manager’s view, however, the employee is not allowed to modify the indicated data and can only verify them (arrivals/departures). The arrival/departure data are subject to approval by the direct supervisor. The employee can check the approvals of his/her arrivals/departures in a summary report. Attendance System significantly streamlines the presenting of absence requests (regular leave, sickness, …). After the authorization, the employee can fill out an electronic absence request, which is then automatically processed for the supervisor based on company’s organizational chart. An overview report indicates the status of all absence requests for the particular employee.

The employee can also make a leave request correction (delete the record), provided the particular leave is not in the past. If the employee wishes to withdraw an already approved leave, his/her request is subject to approval by the supervising manager.

Planned working time / actual presence

A planned working time is defined in the mySAP ERP HR system. This planned time is compared with the actually worked hours. A management report for all employees is generated from this information.

System requirements

Attendance System can be integrated into the SAP NetWeaver Portal and its tools intended for definition and management of access authorizations can be used. The prerequisites include:

  • SAP NetWeaver Portal 6.0 (sp7 and higher)
  • Recommended browser: Microsoft Internet Explorer 5.5 and higher

The product can be also used as a web service with the outputs processed by another application.
